Cancellations and Transfers Policy
Please read the following Policy for Cancellations and Transfers carefully prior to booking your program! Canada West Mountain School (CWMS) recommends purchasing optional 3rd party Trip Cancellation insurance to protect your investment with us in case unforeseen events cause you to be unable to attend a program you are registered in.
In order to provide the best level of service and ensure our staffing for each program is not interrupted, all Cancellations, Changes, and Transfers affecting your booking are as follows:
Programs 3 days or LESS in length
- Cancellations, transfers and date-changes are allowed up to 14 days before the first day of the program. A $30 administration fee will apply to each registered person.
- Cancellations made 14 days or less before the first day of the program are not eligible for transfer or refund.
- Participants may replace themselves with another person at no cost, provided the new participant meets all pre-requisites for the program
Programs 4-13 days or LESS in length:
- Cancellations, transfers and date-changes are allowed up to 30 days before the first day of the program. A $75 administration fee will apply to each registered person.
- Cancellations made 30 days or less before the first day of the program are not eligible for transfers or refunds.
- Participants may replace themselves with another person at no cost, provided the new participant meets all pre-requisites for the program
Programs 14 days or MORE:
- Cancellations, transfers and date changes are allowed up to 90 days before the first day of the program. A $100 administration fee will apply to each registered person.
- Cancellations made between 90 days and 60 days before the first day of the program will receive 50% of the program fee refunded.
- Cancellations or transfers made 60 days or less before the first day of the program are not eligible for refunds.
Custom Programs:
- Each Custom Program will have separate cancellation policies – please ensure you discuss this with our staff at the time of the booking
COVID-19 related cancellations:
- Participants who cancel as a result of testing positive for Covid-19 on the first day of the program, or during the program, are eligible for a credit that may be applied to any future Canada West Mountain School program; or, participants may re-schedule their program to another available date.
- Programs and activities canceled by CWMS for any reason, including Covid-19 related reasons, are eligible for a choice of refund, re-scheduling, or credit.
- Covid-19 related cancellations apply only to the individual(s) who have tested positive.
- For all other Covid-19 related cancellation or transfer requests, please contact the Canada West office directly.
IMPORTANT NOTES ON CANCELLATIONS, REFUNDS, AND TRANSFERS:
- Participants may replace themselves with another person at no cost, provided the new participant meets all prerequisites for the program
- CWMS reserves the right to cancel programs at any point, in which case all fees collected will be refunded
- CWMS is not responsible for any expenses resulting from canceled programs, regardless of reasons for cancellation.
- CWMS reserves the right to waive all or part of the above-noted fees and restrictions
Fees
Unless noted otherwise, fees for Scheduled Programs cover the cost of Guiding and/or Instruction, specified safety/technical equipment, all required permits, Guides/Instructors expenses, course materials, and certifications where applicable. Costs do not include food, transportation, accommodation, or personal equipment on most of our scheduled programs unless noted on the program page.
Evening Seminars
Some programs include an evening class session in advance of the program. These sessions are an integral and essential part of the learning experience on these programs and may be held Online or in person. When you enroll, you will receive an information package detailing when and where your classroom session will take place (if applicable). If you cannot attend an evening or classroom session, please let us know in advance so that we can make alternate arrangements with you.
Prerequisites, Age limits & Joining Policies
- Programs are open to anyone who is on good health and fitness who meets the specific prerequisites listed.
- Prior arrangements are required for participants under 16 years of age; these can be set up through the office before registering.
- Those under 19 years of age must have parent or guardian approval.
- CWMS reserves the right to refuse a participant for any reason, including inadequate clothing or equipment, inappropriate fitness level, or inability to meet program prerequisites.
- All participants must complete and sign a Medical Disclosure and a Waiver release form before participating in a CWMS activity, found here – Waiver and Medical release form
